I had my daughters 4th birthday party on a Sunday at Darby Acres Farm. The party turned out amazing, we all had a great time and the kids are still talking about the party! We had a bigger party with 30 adults and 18 children and there was enough room for all of us to park, hangout inside and to be spread out on the tours. They have a list of addons, and I selected to add: the bunnies, kangaroo, fox, unicorn pony rides and we got 30 buckets of feed. They did an amazing job with dressing the pony up as a unicorn and helping all the kids with their helmets and their pony rides. The staff was very kind, helpful and amazing. I would highly recommend this to anyone looking for an awesome birthday party for adults or kids! We will definitely be back to visit the farm and Safari side!
Darby Acres Farm extends an invitation to our current patrons to host an event in our facility. If you have never visited the farm, please schedule your farm friends walking tour below.
If you have been to Darby Acres Farm within the past 12 months, please submit a scheduling request form below. We unfortunately are unable to confirm any date availability until you meet with our coordinator after your farm friends walking tour.
We want to make certain that everyone is familiar with our property and fully understands what they are receiving with a Facility Rental. We therefore require that any person that has never visited Darby Acres Farm, and would like to schedule a Facility Rental, must visit the property prior to making a deposit.
*Your scheduled tour time may not be changed without a minimum of a 24-hour notice and must be approved by our scheduling department.
*Please do not arrive early or late in hopes of joining another tour time.
**We kindly ask that you do not show up to our private property without a prepaid appointment.
We could be caring for an animal in need, entertaining a scheduled event, working with an already scheduled pony ride or tour, etc.
We regret that we will have to turn away anyone that arrives without a prearranged-prepaid,

1.) Begin your Party in our Heated/Air Conditioned Indoor Party area serving your guests your supplied food, cake and gifts. (1 Hour)
**Decorations and linens not included. Please let us know if you would like to hire Darby's Events to provide the decorations and linens for your event!
*(It is our recommendation that you begin your celebration in the Party Area and then continue to the petting zoo area after all food and cake celebration is completed.)
2.) Then head out to the farm on a 1 Hour guided tour to meet the animals!

Horse, Alpaca, Llama, Emu, Scottish Highland, Zebu, Water Buffalo, Mini Donkey, Mini Horse, Goat, Pigs, Sheep, Rooster, Camel

Can I see the facility, farm, and animals prior to placing my deposit for reservation? Yes! We want to make certain that everyone is familiar with our property and fully understands what they are receiving with a Facility Rental. We therefore require that any person that has never visited Darby Acres Farm, and would like to schedule a Facility Rental, must visit the property prior to making a deposit.
How much is it to rent the facility? $325
What is included in the Facility Rental?
Two (2) Hours Total for up to 12 Children and 16 Adults:
One (1) Hour of indoor party room & (One) 1 Hour tour of the Petting Farm with our Tour guide
Do you provide a party event host? No
We supply the space. While in the indoor party room, you are your own host!
You are responsible for set-up and serving of your guests. *It is your responsibility to bring all plates, napkins, utensils, serving tools, cups, ice, ice tub, candles, matches, etc. required to serve your cake, food, and drinks to your guests.
A staff member will greet you at the beginning of your event to check you and your guests in and take cash payment for any additional guests or add-ons. A staff member will meet you again, 15 minutes prior to the end of your party, to coordinate the ending of your event. We will be accessible throughout your event if you have any questions.
How much is the deposit to hold and reserve our party date and time? A $200 Deposit is required to hold your reserved date and time. ALL DEPOSITS ARE NON-REFUNDABLE **NO DATES ARE HELD OR RESERVED UNTIL YOUR DEPOSIT HAS BEEN RECEIVED, CLEARED AND APPROVED BY OUR SCHEDULING DEPARTMENT.
*Events scheduled within 30 days of their event time, must be paid in full by credit card and will be charged a Short Notice Booking Fee of $30.
What form of payments are accepted?
We accept deposits and final balance due in the form of Check or Money order.
We accept only cash the day of the event for any additional guests, pony rides or buckets of feed.
Credit Card payments will be charged a $15 Convenience Fee.
In order to complete a Facility Rental Reservation, a credit card must be placed on file for any incidentals with a
security deposit hold of $60.
Is there a charge for adults and infants?
The Birthday child is allowed– Two (2) Adults admitted
Every child, up to 12 child guest, is allowed - One (1) Adult admitted per child
$5.00 additional charge for– Each additional person.
If a child is, 11 months or younger and not walking, they will not be included in the 15 children count.
What animals are at the farm and can we feed the animals on the petting farm tour? The farm is home to many of our animals including horse, llama, goats, pigs, sheep, bunnies and more! The majority of our animals may be fed on your farm tour if you choose to purchase feed buckets. Feed buckets are available for purchase and are $4 per bucket. Your tour guide will let you know which animals can be fed. PLEASE DO NOT FEED OR ALLOW YOUR CHILDREN TO FEED ANY EQUINE DURING YOUR VISIT WITH US.
What time can I hold my Farm Birthday Party?
We have 2 time slots available: 10:30am - 12:30pm or 2:00pm - 4:00pm
(Later time may be considered on a case by case basis and will be charged an overtime fee.)
Is the party room and petting farm tour private or will other tours be on site? We will offer other tours at the farm unless you request for your event to be private. There is 1 restroom available on the premises, that is located indoors with the party room, and may also be used by other guests of the farm.
($98 Fee for Private Event.)
Can we bring our own decorations to the party room?
Yes! Please bring any decorations you would like to personalize the area for your party!
We allow the following decorations; tablecloths, balloons, streamers and other small themed decorations.
We do not allow any piñatas or party favors that spread confetti.
(**Decorations and linens are not included. Please let us know if you would like to hire Darby's Events to provide the decorations and linens for your event!.)
How many tables are there and how big are they?
Our selection of tables vary depending on the number of people attending the event. You will be able to discuss table options when you come in for your facility rental tour.
The serving table is 17 feet long x 30 inches wide.
What time can we arrive to set-up and decorate?
Our private gate will be opened for you to arrive no more than 30 minutes prior to the start time of your event to bring your personal items in and to decorate. If you will have children with you, they must stay in the building with you, under your supervision, and may not visit any other area of the farm (This includes playground, trampoline, animal areas, etc.).
GATES CLOSE 20 MINUTES AFTER THE START TIME OF YOUR EVENT. PLEASE TELL ALL GUESTS TO BE PROMPT AS ADMISSION TO ADDITIONAL GUESTS WILL NOT BE GRANTED AFTER CHECK-IN IS COMPLETED AND GATES CLOSE.
YOU WILL HAVE 15 MINUTES AT THE END OF YOUR EVENT TO CLEAR AND EMPTY THE PARTY ROOM OF YOUR ITEMS.
A fee of $10/minute will be charged to the credit card placed on file for every minute you and/or your guests stay after the 15 minute allotted clean-up time. We kindly ask for you to be courteous and have all your items removed and guests departed on time so that we can prepare for the next party and/or to prepare the animals evening routine. We thank you in advance for your understanding!
Garbage cans and recycling bins will be made available for you to use.
We take care of all clean up!
Is every guest required to sign a liability waiver? *EVERY VISITOR TO THE FARM MUST SIGN A LIABILITY WAIVER. CHILDREN UNDER 18 WILL REQUIRE A WAIVER SIGNED BY THEIR LEGAL GUARDIAN.
**IF YOU WILL BE BRINGING CHILDREN TO THE FARM, AND YOU ARE NOT THEIR LEGAL GUARDIAN, YOU MUST ARRIVE WITH A SIGNED WAIVER FROM THAT CHILD'S LEGAL GUARDIAN WITH YOUR NAME LISTED AS THE CHILD(REN) CHAPERONE/RESPONSIBLE PARTY. LIABILITY WAIVERS ARE AVAILABLE TO BE PRINTED FROM OUR WEBSITE. THERE ARE NO EXCEPTIONS TO THIS POLICY.
**You and your guests may NOT visit any area of the farm until they have been checked in. (This includes playground, trampoline, animal areas, etc.) You must ask guests to come directly to the party room, located in the large red building, to check-in. We kindly appreciate your respect and thoughtfulness of our personal property!
ABSOLUTELY No guest is allowed to walk the property unsupervised. We ask that you inform your guests to stay with the group AT ALL TIMES and not wander away from your group. We take this rule extremely seriously and will kindly ask any guest unable to follow this rule to leave the property. This is for the safety of both the guests and animals.
Can parents drop off their children to the birthday party after they sign a liability waiver? No
Children under the age of 18 years old are the responsibility of their parent or guardian and need to be accompanied at all times before, during and after the birthday party. *Please Note: If a child is accompanied by an adult that is not a parent or legal guardian, please read above question and answer.
We require a 2/1, child to parent ratio, at all birthday parties on the farm for children up to 10 years old and a 4/1, child to parent ratio, at all birthday parties on the farm for children 10 years and older.
Are we allowed to bring food for our guests?
Yes! Feel free to bring with you any cake, desserts or food that you would like to give your guests. There is a refrigerator available for you to store your food and cake for the duration of your party only.
*It is your responsibility to bring all plates, napkins, utensils, serving tools, cups, ice, ice tub, candles, matches, etc. required to serve your cake, food, and drinks to your guests.
*Note: There are no ice tubs for drinks or ice supplied at the farm.
*Don't forget your candles and matches!
**There is no sale of food or drinks on our property and we do not have a water fountain.
We strongly recommend that you bring a cooler of water for your group and hydrate prior to starting your tour!**
Please do not bring any food that is required to be heated to be served. Kitchen facilities are not available for use and are off limits to all guests at the farm.
Are we allowed to bring beer & wine for our guests? The Bar Area is off limits and consumption of beer & wine on our property is only permitted it you have hired a Darby's Events bartender. Bartenders are required to stop serving alcohol 30 minutes prior to the end of your event. At this time, we do not allow liquor on our property.
Do you know of anyone that delivers pizza in the area? Pizza Hut on Mt. Holly Huntersville Road will deliver to the farm located at 9395 Hutchinson Ln. Charlotte, NC 28216. You will be responsible for placing your order, payment, and making sure that they are able to deliver in time for your party if you choose to have them deliver.
Can we hire a third party vendor/entertainer to come to our event?
Third party entertainers/vendors must supply their certificate of insurance and are required to receive prior approval from Darby Acres Farm to be granted permission on our property.
Can we bring our dog/pet to the farm? For the safety of your animals and ours, we request that you leave your pets home.
What if it rains?
Rain is expected…Now what? How do I reschedule?
We do not issue refunds. Darby Acres Farm will have your event, rain or shine! There are no refunds. We give you the option to reschedule for another date or choose a package to bring inside our facility.
If you do decide to reschedule, because of inclement weather, we require a minimum 24 hour notice, prior to your scheduled event, or your deposit will be lost. If the proper notice is given, for inclement weather, we will apply your deposit towards another available event date within 12 months.
To reschedule for any other reason, there is a non-refundable $20 reschedule/cancellation fee.
A new date will be based on availability.
*Any cancellation of a rescheduled date, will forfeit the event and the deposit.
If the party has begun and rain has started…The Party goes on!
If ice OR lighting is in the forecast for the day of your event, please contact us, no less than 24 hours prior to your event, for an alternate package; (based on availability) OR A Reschedule date.
**THERE ARE ABSOLUTELY NO REFUNDS GIVEN.
PLEASE HAVE AN ALTERNATE PLAN IN PLACE FOR INCLEMENT WEATHER.
There is no smoking, alcohol, glass containers, or outside animals allowed on the farm grounds by visitors to the petting farm.

**NOTE: PLEASE DRESS APPROPRIATELY FOR A VISIT TO THE FARM AND/OR SAFARI **
Please keep in mind, when you are choosing your boots/foot attire and dressing yourself, and/or your children, that you are visiting animal grounds. It is recommended that you check current weather conditions to help properly prepare for your visit. Comfortable closed toe shoes (Please NO Flip-Flops), layered clothing, hats, sun block, water cooler, water bottles, and hand wipes are some of the items that you may want to consider when preparing for your visit. There are no sidewalks or ramps located on property. Grounds consist of dirt, gravel, and mulched areas. If there has been recent rain, it will likely be muddy or wet throughout the grounds. We recommend not wearing any attire that you are worried about getting dirty.
If you or your child will be participating in pony/horse rides, please dress appropriately. NO skirts.
A low pony-tail, and hair free of hair-barrettes, hair-clips, bows and ribbon, is recommended for pony rides for a comfortable fitting helmet.
*Please be courteous, and arrive to start the tour on time!
